EXECUTIVE ASSISTANT
Shawinigan Aluminium is currently seeking an EXECUTIVE ASSISTANT to support the activities of its Human Resources, Occupational Health and Safety (OHS), and Legal Affairs department.
You will play a key role in providing administrative and organizational support essential to the smooth functioning of the department. You will contribute to coordinating communications, following up on files, maintaining documentation, as well as planning schedules and activities.
Your role will have a direct impact on:
- The quality and accuracy of administrative and organizational records
- The fluidity of internal and external communications
- Support provided to managers in their daily activities
- The efficiency of documentation processes and activity follow-up
- Compliance with internal policies and applicable requirements
- Training in administration, secretarial studies, or a related field
- Training, knowledge, or strong interest in Human Resources and/or Legal Affairs (asset)
- 1 to 3 years of experience in administrative support within a corporate or executive environment
- Excellent oral and written communication skills, including professional document writing
- Strong organizational, planning, and priority management skills
- Rigor, discretion, and a high level of confidentiality
- Autonomy, professionalism, and initiative
- Proficiency with office tools and document management systems
- Excellent command of French, both spoken and written
- Good command of English (asset)
- Provide general administrative support to the department
- Handle phone calls, emails, and information requests
- Plan and coordinate schedules, meetings, and appointments
- Prepare, draft, and update various administrative documents
- Support managers with follow-ups and document preparation
- Maintain file tracking and ensure information updates
- Manage recordkeeping, document control, and internal system updates
- Ensure confidentiality and compliance of sensitive information
- Coordinate information flow between stakeholders
- Support internal and external communications
- Contribute to the improvement of work methods and administrative processes
- Assist in the planning and follow-up of various projects
- Perform any other related duties
